FAQ & Troubleshooting
I deleted something by accident. Can I get it back?
Yes. Go to Deleted Items from the sidebar, find the item, and click Restore. You have 30 days from deletion.
How do I apply a deposit or credit to an invoice?
Add a line item with a negative unit price. Example: ‘Deposit received’ with quantity 1 and unit price -500
Can my client pay invoices online?
Yes. Connect your Stripe or Paypal account in Settings > Payments. Invoices will include a ‘Pay Now’ button.
How do I track time I forgot to start a timer for?
Click Start Timer and use the manual time entry option. Enter hours worked, select the task, and choose the date.
Can I use hrglass for multiple businesses?
Yes. Create a separate Workspace for each business. Each has its own clients, projects, and settings.
What’s the difference between a Primary Contact and a Primary Billing Contact?
The Primary Contact is your main communication point. The Primary Billing Contact receives invoice emails. They can be the same or different people.
How do I change my invoice numbering?
Go to Settings > Invoice Settings and update the Invoice Start Number.
Can I restrict team members from seeing project budgets and rates?
Yes. On a Team plan, go to Settings > Owner Settings > Role Permissions and toggle off View Financial Data for Member or Viewer roles.
How do I send an estimate with a contract?
Create the contract in Contracts, then attach it to your estimate. The client sees both on the same shareable link.
What happens when a client accepts my estimate?
The estimate status changes to Accepted and you receive a notification. You can then create a project based on the accepted scope.
Can I customize what my invoices look like?
Yes. Go to Template Maker to design your invoice layout — drag sections, adjust fonts and colors, upload your logo, and save multiple templates.
Can I upgrade or downgrade my account after purchase?
Yes, you can upgrade from Pro to Team or downgrade from Team to Pro anytime during your subscription. Billing will be prorated and applied to the next billing cycle.
FAQ: Invoicing Clients as a New Freelancer
How do I invoice a client for the first time?
Include your business info, the client’s info, an itemized breakdown of the work, a due date, payment terms, and a clear way to pay. Send it the day the work is finished or the milestone is hit.
What’s the fastest way to get clients to pay online?
Give them a direct Pay Now option on the invoice itself, credit card or ACH, instead of asking them to send money through a separate app. The fewer steps between reading the invoice and paying it, the faster it gets paid.
Do I need invoicing software when I’m just starting out?
Not for your first invoice or two. Once you’re managing more than one or two clients, a tool that connects your projects and tasks directly to invoicing saves hours and prevents billing mistakes.
Can I combine multiple projects into a single invoice?
In hrglass, yes. Tasks across different projects can be pulled into one combined, branded invoice, something most invoicing and project management tools don’t support.
Can I use my own Stripe or PayPal account to get paid?
Yes. hrglass connects to your own Stripe and PayPal accounts, so payments go straight to you. You’re not routed through a third-party gateway your clients don’t recognize, and you keep full control of your own payment processor relationship.
Can I have more than one invoice layout or design?
Yes. hrglass includes multiple invoice templates you can pick from and customize with your own branding and colors, so you’re not stuck with one generic layout no matter how different your clients or project types are.
FAQ: How Do I Choose the Right Project Management Tool for My Business?
Do I actually need a project management tool, or is a spreadsheet still fine?
If you’re managing a couple of clients and the spreadsheet is still working, keep using it. That’s not a problem to fix. The real signal to watch for is usually somewhere around ten or more active clients, especially once projects start going on hold or clients push their timelines. That’s when a spreadsheet stops being organized and starts being clutter.
What’s the actual difference between hrglass and Harvest?
Harvest is a solid time tracker and invoicing tool, and that’s genuinely where this whole thing started too. The gap is everything past that: knowing where a project stands, tracking budgets, setting priorities, seeing what’s actually due soon. hrglass keeps the time tracking and invoicing you’re used to, and adds the project management layer on top, so you’re not running two disconnected tools side by side.
Can I bill some tasks hourly and others flat rate within the same project?
Yes, and this is the whole reason hrglass exists. Every task carries its own billing type, fixed, hourly, non-billable, or a rate multiplier, independent of whatever’s happening elsewhere in the project. A website project can have flat rate design work and hourly maintenance living in the same project without any workarounds.
Is invoicing actually built into hrglass, or do I need to connect a separate app?
It’s built in. You can invoice straight from a project, pull multiple projects or tasks onto a single invoice, and customize the branding to match your business. No Zapier, no third-party invoicing app bolted on.
What do I actually get with the 14-day free trial?
Full access to whatever plan you’re trying, nothing held back behind a future upgrade. Both plans hrglass offers are fully featured from day one, so the trial shows you the real thing, not a limited preview of it.
Who is hrglass actually built for?
Service-based businesses: freelancers, small teams, and agencies who invoice clients for time or deliverables and need that tied to real project tracking. That covers a lot of ground, web designers, videographers, photographers, consultants, construction subcontractors, and plenty of others, but the common thread is billing clients for work and needing more visibility than a spreadsheet or a basic time tracker can give you.
